The ProblemEvery operational process was paper-based. Tender tracking, procurement approvals, IPC billing, vendor management, and finance disbursements all lived in physical folders. Data was scattered, approvals were slow, and there was no audit trail for payments or procurement decisions.
The SolutionBuilt a single-codebase ERP for web and mobile covering the complete lifecycle from tender submission to payment disbursement. Three-way match verification on every payment. BOQ imported from Excel, locked after PM review, and referenced across procurement and billing. Xero integration syncs bills, invoices, and payments automatically per project.
The OutcomeThe company's entire operation is now digital. Paper folders are gone. Procurement approvals, IPC billing, and finance disbursements all flow through the system with a full audit trail. Xero integration gives real-time P&L per project. Currently in production at kainattenterprises.com.
The company ran every operation manually: bids tracked in folders, procurement approvals on paper, IPC billing calculated by hand, vendor records scattered across spreadsheets. I built a two-phase ERP covering the entire operational lifecycle. Phase 1 covers tendering and bidding, BOQ management with Excel import and locking, procurement with three-way match verification, IPC and billing with QS workflows, and a document repository. Phase 2 adds finance and disbursement with maker-checker-approver flows, bank and cash management, Xero accounting integration with automatic bill and invoice creation, HR and payroll, asset and inventory management, and correspondence tracking. Six roles across the system: Admin, Project Manager, Quantity Surveyor, Procurement Officer, Finance, and Site Engineer, each with scoped access.
